How it works
Step 1
Upload once
Any file uploaded anywhere in Kompendra lands in the vault with its SHA-256 hash, the uploader, the time and every record it is linked to.
Step 2
Never overwrite
Files are stored under their content hash. A replacement is a new version and the original stays. The hash is printed on every export.
Step 3
Find it later
Search by record, date range, uploader, file type, hash, or the text extracted from PDFs and documents on upload.
Why it exists
Evidence is what turns “we did it” into something a regulator will accept. It has to be complete, dated, and provably unchanged since it was filed.
A content hash does that. If a file changed, its hash would change, and the hash printed on your report would no longer match. Because files are never overwritten, the version you relied on at the time is always the one you can produce.
Retention is set per firm, ten years by default. Nothing is deleted before the rule allows, and deletion after it is a logged admin action.
When a regulator asks, you export a regulator pack: the selected records and their evidence in one ZIP file with an index PDF.
Long evidence can be summarised in one paragraph for the test record. You review the summary before it is saved.
